The SOBC Board holds monthly meetings to review the club finances, field maintenance, and upcoming club events. Meeting minutes are always available for review by contacting the Secretary.  The general email address for the club is slingeronbase@gmail.com.

Roles & Responsibilities

Officer Roles and Responsibilities (3 members)

President

It shall be the responsibility of the President, in general, to supervise and conduct all activities and operations of the Organization, subject to the control, advice and consent of the Board of Directors. The President shall keep the Board of Directors completely informed, shall freely consult with them in relation to all activities of the  Organization, and shall see that all orders and/or resolutions of the Board are carried out to the effect intended. The President shall be empowered to act, speak for, or otherwise represent the Organization between meetings of the Board. The President, at all times, is authorized to:

•   Supervise and control all the business and affairs of the corporation

•   Compliance with WSYBL, Finalize Registration with WSYBL

•   Assist with preparing the annual budget of the corporation with Treasurer and BOD representative

•   Communicate and schedule games with Village

•   Reserve field space with Allenton town board

•   Reserve practice schedule at Allenton and Addison fields

•   Create Spring and summer practice schedule

•   Interview coaching candidates with Director of Coaching and Board of Directors Representative

•   Reserve all open gym space for SOBC teams

•   Purchase food and alcohol for annual SOBC tournament

•   Assist Director of Tryouts with coordination and schedule of tryouts

•   Finalize Results of Tryouts

•   Communication with parents on any tryout issues, decline or acceptance issues that arise as well issues that arise during the year

•   Finalize uniform committee decisions

•   Assist Director of Tournaments with schedule, team or field issues that arise with annual SOBC tournament

       •    S/he preside at all meetings of the Board. In the absence of the President, by way of affirmative vote of a majority the Board can determine which other attending Board member shall lead the meeting in the absence of the President.

 

Secretary

The Secretary, or his/her designee, shall be the custodian of all records and documents of the Organization, which are required to be kept at the principal office of the Organization, and shall act as secretary at all meetings of the Board , and shall keep the minutes of all such meetings on file in hard copy and electronic format. S/he shall attend to the giving and serving of all notices of the Organization and shall see that the seal of the Organization, if any, is affixed to all documents, the execution of which on behalf of the Organization under its seal is duly authorized in accordance with the provisions of these bylaws. The Secretary, at all times, is authorized to:

•   Develop monthly meeting agenda, keep minutes and present at board meetings

•   Keep Slinger on Base Club Binder with all copies of minutes etc.

•  Send confirmation letters for donations as requested and required

• Work with Director of Fundraising on annual raffle licenses/annual reports

•   Oversee Tryout Registration and communication with families regarding results

•   Oversee annual registration process and assure all necessary forms are obtained (work with Treasurer for completion)

•   Oversee SOBC website and work with Sports Engine Rep as necessary

•   Provide Coaches Contact information/spreadsheet to necessary parties

•   Oversee Club email and communication, team rosters/contacts

•   Track and Monitor Coaches Background Checks with NCSI

•   Attend Board Meetings and participate in discussion and votes

•   Coordinate volunteer opportunities and track family hours

 

Treasurer

It shall be the responsibility of the Treasurer to keep and maintain, or cause to be kept and maintained, adequate and accurate accounts of all the properties and business transactions of the Organization, including accounts of its assets, liabilities, receipts, disbursements, gains, losses, capital, retained earnings, and other matters customarily included in financial statements.

The Treasurer shall be responsible for ensuring the deposit of, or cause to be deposited, all money and other valuables as may be designated by the Board. Furthermore, the Treasurer shall disburse, or cause to be disbursed, the funds of the Organization, as may be ordered by the Board, and shall render to the President of the Board, and Directors’, whenever they request it, an account of all the Treasurer's transactions as treasurer and of the financial condition of the Organization. The Treasurer, at all times, is authorized to:

  • Renew Gaming License
  • File Non Stock Corporation Annual Report
  • File Charitable Organization Renewal and Report
  • Renew NRPA Liability Insurance
  • Renew Officer/Liability Insurance Policies 
  • Provide Monthly Financial Report to Board Members
  • Pay any Monthly/Yearly Invoices
  • Balance Bank Statements Monthly
  • Finalize Budget with President/Board of Directors
  • Collect Registration Fees/Forms
  • Register and Pay for Teams with WSYBL
  • Pay Head Coaches for League Umpire Fees
  • Pay/Track Team Tournament Registrations
  • Collect Payments/Registrations for Slinger Tournament
  • Slinger Tournament Finances (i.e. Umpire Money, Start up Cash for Concessions)
  • Assist Secretary with Tryout Registrations

 

Directors Roles and Responsibilities (Currently 5 members)

Director Positions

In the absence of the president, or in the event of his inability or refusal to act, any Director by majority vote of the board and its directors shall perform the duties of the president. When so acting, he/she shall have all the powers of and be subject to all the restrictions upon the President. Any Director shall perform such other duties as from time to time be assigned to him/her by the President.

 

Director of Fundraising and Uniforms

  • Manage Fundraising committee
  • Work with committees to obtain donations for fundraising events
  • Organize and manage fund raising events
  • Coordinate Uniform Fitting and Apparel Ordering and Sales for all team members and parents
  • Attend Board Meetings and participate in discussions and votes

 

Director of Equipment and Field Maintenance

  • Distribute all team equipment to coaches after being inventoried and replenished with items for new season along with equipment distribution letter at the beginning of practice season to allow for team bags to be used during indoor winter practices-(Jan 1st)
  • Act as point of contact for coaches when repair or replacement of damaged/unsafe equipment is needed (Throughout the year)
  • Conduct equipment inventory for all coaches and baseball related supplies on hand. Inventory shall be maintained electronically with quarterly updates provided to board- (Jan 31, March 31, June 31, Sept 30
  • Collect all team equipment previously issued to coaches after the conclusion of season. Assess existing equipment for age, safety and general condition and replace as needed, per equipment budget and team needs. Most equipment on a 2 year replacement rotation -(August 1)
  • Coordinate the delivery/pickup of portable restrooms and hand sanitizer for Addison Fields (April 15th), order tent, chairs and table for tournament to be set up at Addison Fields (May 1st)
  • Schedule, coordinate and oversee the volunteer work day each spring at the Addison Diamonds (April):

            1) Installation of bases

            2)  Installation of temporary fence

            3) Edging of turf grass edge on infield (Both Diamonds)

            4) Spray herbicide on hillside on small diamond to control wild parsnip from germinating  (poisonous as it matures)

            5)  Fertilize and apply Pre and post-emergent herbicide to turf grass infield on big diamond and immediately behind backstops on both diamonds (3 times throughout the season)

            6)  Install and remove water meter (spring and fall) report gallons used to Ben Frazer-Manager of Buildings and Grounds-Slinger School District for DNR annual Usage Report

  • Arrange for mowing of grass infield of large diamond at Addison and trimming along backstops, dug outs and temporary fencing on small diamond throughout the season
  • Monitor weather and respond to watering needs of the infield turf on large diamond- Create watering schedules as necessary in order to keep turf surface from going dormant during periods of drought.
  • Oversee field maintenance at Addison Elementary School - work with Village of Slinger Parks Superintendent and Addison School District Manager of Buildings and Grounds to maintain and upgrade the field projects.
  • Develop a repair, replacement and maintenance budget for annual projects necessary for future maintenance and up keep (Aug-Sept)
  • Create future year equipment budget based upon inventory of equipment collected from coaches from previous season (Aug-Sep)

 

Director of Coaches and Tryouts

  • Organize and run coaches meeting with president
  • Communicate with coaches on behalf of the board
  • Communicate with the board on behalf of the coaches
  • Be a mediator on coaching issues (i.e. differences between coaches, parents/coaches etc.)
  • Liaison between SHS Varsity Coach and the SOBC coaches in regards to coaching philosophy
  • Interview coaches in Sept for open coaching positions (with President and Varsity Coach)
  • Organize and run the tryout/evaluation process for all teams
  • Track tryout scores/results to determine 12 player teams at each level (with President)
  • Attend and Participate in board meetings
  • Organize and Schedule winter and spring practices (facility/times etc.)
  • Advertise local baseball clinics
  • Attend Board meetings and participate in discussions/votes

 

Director of Community Relations

  • Work with Director of Fundraising to coordinate fundraiser printing needs and club apparel sales
  • Oversee tournament brackets/printing needs
  • Be responsible for promoting SOBC within social media and community resources
  • Regularly update the club website 
  • Take photos for uploading to website/social media pages
  • Coordinate Youth Night at the Park with the Slinger High School Varsity Coach
  • Coordinate Family Night
  • Attend monthly board meeting and participate in discussions and votes
  • Coordinate the Homecoming Parade

 

Director of Tournaments and Practices

  • Coordinate and promote the annual Slinger On Base Club Youth baseball tournament in the Spring (weekend before Memorial Day weekend)
  • Conduct team sign up and registration for each team bracket for the tournament to include all team communication and registration fees
  • Organize/Schedule winter and spring practices (facilities/times...)
  • Advertise local baseball training clinics
  • Responsible for allocating funds and working with coaches to determine what tournaments teams will play in based on either the number allowed or monies allocated per grade
  • Attend Board meetings and participate in discussions and votes.
  • Coordinate use, scheduling and coach communications for indoor practice facility
